Changing lift maintenance companies involves more than accepting a different annual price. Before agreeing a start date, check the existing contract, confirm equipment support and organise the records and communication arrangements needed for a workable handover.
A new quote does not cancel the current agreement. Understand the building's commitments before arranging replacement services.
Check the existing arrangements
Locate the signed agreement and variations. Identify its term, renewal provisions, notice process and outstanding commitments. Obtain appropriate advice about your rights if there is a dispute or uncertainty. A maintenance quote is not legal advice about ending another contract.
Record the current maintenance and emergency contacts. Scheduled servicing, breakdown cover and the lift phone may have different providers or account responsibilities; check each rather than assuming they move together.
Confirm support for the actual equipment
Provide the prospective company with the make, model, available technical information and service history. Ask what assessment is needed and whether components, diagnostic access or documentation impose limitations.
An independent provider may be an option, but independence does not establish compatibility with every installation. Seek equipment-specific confirmation instead of relying on an “all brands” assumption.
Prepare a handover pack
Gather information the building is authorised to hold and share:
- Equipment identifiers and details.
- Available service and repair reports.
- Outstanding quotes, recommendations and known faults.
- The maintenance programme.
- Site contacts and authorised access arrangements.
- Emergency phone provider, monitoring contact and account responsibilities.
Restricted technical information and access credentials should be exchanged through an agreed secure process with authorised recipients, not included in a general tender email.
Agree the changeover responsibilities
Clarify when each provider's services end or start. Confirm the breakdown number to display and how residents or staff will be told. Check emergency phone arrangements separately so there is no uncertainty about who answers a call.
Record any initial assessment and separately quoted work. A new agreement is not confirmation that all outstanding issues have already been repaired.
Review the contract on its own terms
Compare reporting and approval arrangements alongside service scope and fees. Decide who receives reports and follows up recommendations. Keep the first completed records with the handover pack so future managers can understand the transition.
